Publication Ethics

Publication Ethics for the Proceeding of AISOFOLL (PROCAIS)

The Proceeding of AISOFOLL (PROCAIS) upholds the highest ethical standards in academic publishing. Following the Guidelines and Core Practices of the Committee on Publication Ethics (COPE), PROCAIS ensures transparency, fairness, and integrity in all stages of publication. Hence, all parties involved—including authors, editors, reviewers, and the publisher—must adhere to the standards.

A. Responsibilities of Authors

1. Originality and Plagiarism

Authors must ensure that their work is entirely original and free from plagiarism. Any use of prior research must be properly cited, quoted, or referenced. Plagiarism in any form, including self-plagiarism or duplicate submission, is strictly prohibited. Papers/reports are subject to plagiarism detection software, and violations will result in rejection or retraction.

2. Data Accuracy and Integrity

Authors must ensure that all data presented in their research are accurate, complete, and free from fabrication or manipulation. If requested, authors should be able to provide raw data for verification. Any falsification or distortion of research data will be considered a serious ethical violation.

3. Authorship and Contributions

Authorship should be limited to individuals who have made significant intellectual contributions to the research, including its conception, design, execution, or interpretation. All contributors meeting these criteria should be listed as co-authors, while those involved in specific substantive aspects of the project should be acknowledged.

Before submission, all authors must approve the final version of the work. Any changes to authorship, such as adding or removing authors, must be agreed upon by all contributors and reported to the editorial team.

4. Conflicts of Interest

Authors must disclose any potential conflicts of interest whether financial, institutional, or personal, that could influence their research. Funding sources, institutional affiliations, and any other relevant disclosures should be clearly stated in the papers/reports.

5. Multiple, Redundant, or Concurrent Publications

Authors should not submit the same research to multiple journals or primary publications. Sending the same work to more than one journal at the same time is unethical and unacceptable. Similarly, a paper/report that has already been published should not be submitted to another journal.

6. Ethical Considerations in Research

For studies involving human participants, informed consent must be obtained, and ethical clearance from an appropriate institutional review board is required. Failure to comply with ethical research standards may result in rejection.

7. Post-Publication Review and Corrections

Authors are responsible for responding to post-publication inquiries and correcting errors if necessary. They must promptly notify the editorial team or publisher and collaborate on retractions or amendments when required. If the editor or publisher receives a report from a third party about a significant error in the published work, the author is obligated to either issue a correction or retraction or provide clear evidence supporting the accuracy of the original publication.

B. Responsibilities of Editorial Team

1. Editorial Decision-Making

Editorial team of PROCAIS ensures that paper/report evaluations are based solely on academic merit. Editorial team should evaluate works for their intellectual content without regard to race, gender, sexual orientation, religious belief, ethnic origin, citizenship, or political philosophy of the authors. Editorial team’s decisions are not influenced by external pressures, including financial, political, or personal considerations.

2. Confidentiality

Editorial team must maintain strict confidentiality regarding submitted papers/reports. Information about submitted works should not be disclosed to anyone except the corresponding authors, reviewers, and necessary editorial staff. Editorial team must not use unpublished material for their personal research without the author's consent.

3. Managing Conflicts of Interest

Editorial team should recuse themselves from handling a paper/report if they have a conflict of interest, such as a personal or financial relationship with the authors. Editorial team must withdraw from reviewing works if they have a conflict of interest due to competitive, collaborative, or other relationships with any of the authors, companies, or institutions associated with the submission. In such cases, they should delegate the review process to a co-editor, associate editor, or another editorial team. Additionally, Editorial team should ensure that all contributors disclose any relevant conflicts of interest and issue corrections if such conflicts are identified.

C.  Responsibilities of Reviewers

1. Providing Fair and Constructive Feedback

Reviewers must evaluate papers/reports objectively and provide constructive feedback to improve the quality of the research. Personal criticism of authors is unacceptable.

2. Confidentiality

Reviewers must treat submitted papers/reports as confidential and must not share them with unauthorized parties. They must not use unpublished information from the works for personal research.

3. Timeliness and Ethical Oversight

Reviewers should complete their evaluations within the agreed timeframe. If they detect plagiarism, data fabrication, or ethical concerns, they must report these issues to the editor.
